Job Description
The Logistic Officer is responsible for ensuring effective and efficient management of procurement, stock, fleet, facilities, equipment, IT resources, and communication platforms (website and email). The role safeguards organizational assets, supports operational continuity, and ensures compliance with institutional policies and donor requirements.
Key Responsibilities
- Procurement Management
- Plan, coordinate, and execute procurement activities in line with organizational policies.
- Prepare purchase requests, quotations, bid evaluations, and contracts.
- Maintain vendor databases and ensure transparent supplier selection.
- Monitor procurement timelines and ensure timely delivery of goods and services.
- Stock & Warehouse Management
- Maintain accurate records of stock levels, receipts, and dispatches.
- Implement stock control systems to prevent shortages or overstocking.
- Conduct regular physical inventory checks and reconcile with records.
- Ensure proper storage conditions and security of goods.
- Fleet Management
- Oversee allocation, scheduling, and maintenance of vehicles.
- Monitor fuel consumption, mileage, and driver performance.
- Ensure compliance with traffic laws and organizational safety standards.
- Prepare fleet utilization and maintenance reports.
- Facilities Management
- Supervise maintenance and repair of office buildings and facilities.
- Ensure utilities (electricity, water, internet) are functional and cost-efficient.
- Coordinate office space allocation and workplace safety measures.
- Manage service contracts for cleaning, security, and maintenance.
- Equipment Management
- Maintain inventory of office equipment (computers, printers, furniture, etc.).
- Ensure timely servicing, repair, and replacement of equipment.
- Track asset allocation to staff and maintain asset registers.
- Implement disposal procedures for obsolete or damaged assets.
- IT Support & Management
- Provide first-level IT support to staff (hardware/software troubleshooting).
- Coordinate installation and maintenance of IT systems and networks.
- Ensure data backup, security, and compliance with IT policies.
- Liaise with external IT service providers when required.
- Administer organizational email accounts, including creation, maintenance, and troubleshooting.
- Manage and update the organization’s official website content.
- Ensure website functionality, security, and accessibility.
- Coordination & Compliance
- Prepare monthly and quarterly logistic reports for management.
- Ensure compliance with organizational policies, donor regulations, and audit requirements.
- Support internal and external audits with accurate documentation.
- Provide oversight, guidance, and technical support to provincial logistics staff.
- Ensure provincial offices comply with organizational procurement, fleet, stock, and asset management policies.
Qualifications & Skills
- Bachelor’s degree in Business Administration, Logistics, Supply Chain, IT, or related field.
- Strong knowledge of procurement, fleet, and stock management systems.
- Proficiency in MS Office, website content management systems, and email administration tools.
- Excellent organizational, communication, and problem-solving skills.
- Ability to work under pressure and manage multiple priorities.
